Duties & Responsibilities

  • Serves as the department expert and manage the daily upkeep of the Human Resources Information System (HRIS: ADP), including, but not limited to, processing all system updates such as new hires, status changes, and terminations for the entire organization, including baseball operations. Expert level attention to detail is a must!
  • Utilize EBIS and maintains spreadsheet of baseball contracts and rosters with new rates, teams, locations, tax states, titles, etc.  Makes changes in system when applicable.
  • Updates Friarnet (intranet system) and External website on all changes made in HRIS to ensure consistency with our records.
  • Sets up, maintains, or terminates any type of activity in the HRIS system, including but not limited to, setting up data feeds, implementing new modules, open enrollment events, etc.
  • Receives and processes all new hire paperwork from Generalists, including but not limited to, PAF, files, HRIS entry, DocuSign routing, etc.
  • Completes and processes People Action Forms (PAF) for all moves and routes them through DocuSign for approval.
  • Runs a variety of monthly and ad hoc reports as needed.
  • Assists with new hire orientation process as needed.
  • With partnership of all HR team members, creates and maintains SOPs for the department.
  • Co-manages department filing system (hard and soft copy) in file drawers, in binders, and electronically with the HR Assistant.
  • Creates monthly organization charts in a timely and complete manner.
  • Handles all current filing needs for Front Office, seasonal, recruiting, benefits, and contracts.
  • Assists with staffing (setting up interviews, extending offers, processing pre-employment paperwork, etc.) when requested.
  • Reviews and conducts full audit on all personnel files, recruitment files, medical files, and ER files to ensure accuracy and completeness.
  • Runs annual I-9 audit report and follows up to ensure full compliance.
  • Translates basic documents and instructions into Spanish when requested (if applicable).
  • Maintains confidential information and shreds documents as requested.
  • Creates personnel and benefits files including all new hire paperwork, EEO forms, I-9 and Background Check results.
  • Prepares and updates paperwork for New Hire Orientation when requested.
  • Other duties and projects as assigned by the Sr. Director, HR.

Job Requirements

  • Must meet the following minimum requirements:
  • Minimum Associate or Bachelor’s degree in a business-related field preferred.
  • 3+ years in a fast-paced office clerical/administrative environment, preferably in Human Resources or Payroll.
  • Basic knowledge of HR employment practices and ability to stay abreast of current legislation.
  • Proficient computer skills and experience working with MS Office products and accurate data entry; HRIS experience preferred.
  • Prior expert level experience working with HRIS systems, specifically ADP, including running custom reports.
  • Very strong organizational skills – experience setting up and maintaining filing systems and procedures, tracking and organizing upcoming special dates and events, and updating databases as needed.
  • Demonstrated success in looking for Continuous Improvement situations, and offering solutions on processes and procedures.
  • Ability to speak, read, and write in Spanish is highly preferred.
  • Able to demonstrate good grammar, punctuation and spelling.
  • Ability to safeguard and maintain confidential information.
  • Strong sense of teamwork; able to create and maintain positive relationships within organization with a wide variety of co-workers.
  • Professional appearance and demeanor.
  • Ability to multi-task and prioritize.
  • Consistent, punctual, and regular attendance.
